Using custom fields (variables) in your email templates Follow

When you create a template, you may need to make sure that each time one of your team uses it, they remember to add some customer-specific details to the email. Here are some common examples:

  • The customer's name
  • An invoice number
  • The name of a product or service you offer

To help make it easy for your team to add these customized details, Outpost offers a tool called "Variables."

 

Adding a variable to a template

As you're writing a template, you can insert a variable at any time by placing words or phrases between curly brackets, as shown below:

Formatting a variable

Outpost's variables are extremely flexible, and there are no formatting requirements other than using curly brackets. You can use spaces in your variables or no spaces, and upper or lowercase letters, or both. You can even use symbols in your variables.

If you're new to using variables, it's usually a good idea to keep them simple and easy to understand. A variable is basically a prompt, that reminds your team members of the information that needs to be added where the variable is. Here are some good examples:

  • {FirstName}
  • {LastName}
  • {Date}
  • {Invoice#}
  • {Product}

 

Using a template that contains variables

When a member of your team uses a template with variables, they'll immediately see a pop-up form listing those variables, as shown below. Once they fill in the fields, the key details will be added to the email automatically:

If you accidentally dismiss the form before filling in the details, you can access it again by clicking the Variables symbol:
